Dear Publishers of Mathematics Instructional Materials for Kindergarten Through Grade Eight:

2007 MATHEMATICS PRIMARY ADOPTION:
UPDATE ON FINAL PRINT EDITION VERIFICATION PROCESS
(PUBLISHER BULLETIN 2008-25)

This bulletin includes updated information about the verification review of final print editions to be conducted later this year by the California Department of Education (CDE). A previous bulletin (Publisher Bulletin 2007-23) explained this final step in the adoption process and informed publishers that the exact date and locations would be available at a later date.

Shipping Dates and Review Location (Update)

Initially, CDE had planned to contract with a County Office of Education to conduct the verification review of final print versions; however, those plans have changed. CDE has acquired new warehouse space in West Sacramento that will be used to conduct the review.

We are in the process of moving in to the new warehouse and have not yet completed the move. Once the move is completed, we will notify all publishers of the timeline, materials to be shipped, and shipping address. 

We anticipate that the materials will be reviewed in Summer 2008. You will be given adequate advance notice of the exact shipping date, which will be no sooner than

May 1, 2008.

What to Send (Reminder)

As a reminder, publishers will need to submit one set of the final print version of any program components, with changes, to the review location. Do not send components that do not include changes. Publishers will be requested to pick-up and remove any materials sent that do not include changes to be reviewed.

To facilitate the review of your program, please plan to provide the following information when you send your final print versions to the review location:

  1. An inventory list of items shipped (include the International Standard Book Number [ISBNs] for each item).

  1. Point out the corrected areas in the program materials:

  • Tab the corrected pages or screen shots. For consistency, use red tabs for Edits and Corrections, blue tabs for Legal and Social Compliance, and yellow tabs for Errata.

  • Highlight the corrections. Use a highlighter marker or draw a circle around the area to indicate the correction on the page or screen shot.

  • Electronic-based components. Provide a screen shot of the change (audio captions should be provided for changes to the audio portion of an

electronic-based program). Computer access will not be available at the review location. Reviewers will rely on “tabbed” screen shots and/or captioned screen shots to verify the corrections.

  1. Provide a list of the corrections to be reviewed (these may be three separate  lists):

  • Edits and Corrections—include the approved list of edits and corrections as discussed at the recent Edits and Corrections meetings in November 2007 (Basic Grade-level programs) and in December 2007 (Algebra Readiness and Intervention programs).

  • Legal and Social Compliance—include the table of results from the Legal and Social compliance reviews, which were mailed to you in August 2007.

  • Errata—include one comprehensive list of errata. The list should include errata previously approved by the Curriculum Commission. If you decide to include additional errata, authorized by the SBE action in November 2007, then incorporate the additional errata in a comprehensive errata table. Use the table template and follow the instructions for completing the table previously sent (refer to Publisher Bulletin 2007-23)
