Dear California Basic Educational Data System Coordinators:
The California Department of Education (CDE) is preparing for the fall 2011 California Basic Educational Data System (CBEDS) data collection. This letter is to inform local educational agencies (LEAs) of the significant dates, changes to the data collection, the LEA’s CBEDS coordinator’s responsibilities, and also to verify and update the LEA’s CBEDS coordinator contact information.
The CBEDS data collection day is Wednesday, October 5, 2011. On this day each LEA is responsible for collecting aggregate classified staff, school, and district demographic data. These data are to be submitted through the CBEDS online reporting application by October 28, 2011. The application contains formatted School Information Form (SIF) and County/District Information Form (CDIF) data entry screens, the ability to import and export data, built-in edit checks, and the capability to print school and district forms and reports.
The CBEDS online reporting application will be available for use in early October. The application, Web-based training, as well as other resources will be available on the CDE CBEDS Web page at http://www.cde.ca.gov/ds/dc/cb/.
The following items were added to this year’s Educational Options section:
1) Report the total number of participating K-8 and 9-12 students:
2) Report the total unduplicated number of students:
3) Report the number of students who took one or more high school classes through independent study and graduated from high school. Count only those students who graduated during the prior school year and took one or more classes through independent study during high school.
Beginning this year, LEAs are to report the number of instructional settings that are used for instruction-related purposes.
On the 2010 CBEDS, LEAs reported the number of classrooms that have access to the Internet through at least one computer. This year, on the 2011 CBEDS, LEAs are to report the number of instructional settings that have access to the Internet through at least one computer. With this change, LEAs may now include in the count the school gymnasium, media center, library etc. in addition to classrooms.
Last year, select LEAs reported ASAM data on CBEDS. This year, ASAM data will not be collected on CBEDS.
SIG participants are to report the following information on this year’s CBEDS. (Only LEAs approved for SIG will have access to this section.)
No changes.
The SIF form and layout will be re-ordered as sections of the SIF that are no longer collected through CBEDS will be removed and new items will be added. Please note: This will affect the file specifications for those LEAs that import their data.
We ask that each LEA designate a CBEDS coordinator. The coordinator’s responsibilities include distributing materials to schools, holding training sessions, verifying data, and ensuring that data for every school in the LEA (including charter schools reporting through their authorizing agency) are electronically submitted to the CDE by October 28, 2011. The coordinator will also be our point of contact for any questions about the data submitted by the LEA.
Charter schools that elect to report their data independently will be responsible for submitting all data for their charter school directly to the CDE. For more information, please visit the CDE CALPADS Charter Schools Web page at http://www.cde.ca.gov/ds/sp/cl/charterschools.asp.
It is important to keep your CBEDS coordinator information current as it will be used to distribute CDE announcements related to the CBEDS data collection. Enclosed with this letter is the 2011 CBEDS Coordinator Contact Survey.
