Local Educational Agencies (LEA) Responsibility for Charter Schools
Traditional CBEDS (Statewide Student Identifier (SSID) only) LEAs
If your LEA has charter schools, the California Basic Educational Data System (CBEDS) coordinator will remain responsible for the submission of CBEDS data for these charter schools. The CBEDS coordinator’s responsibilities include distributing materials to schools, checking data prior to submission, and ensuring that data for these charter schools are returned to the California Department of Education (CDE). We also ask that the CBEDS coordinator work with these charter schools to verify submitted data on the pre-certification Web site. Refer to the CBEDS Data Submission Process for LEAs with Charter Schools below for details on submitting Professional Assignment Information Form (PAIF) and School Information Form/County District Information Form (SIF/CDIF) data for charter schools.
California School Information Services (CSIS) State Reporting LEAs
If your LEA has one or more charter schools that are not participating in your CSIS state reporting process, the CBEDS coordinator will remain responsible for the submission of CBEDS data for these charter schools. It is important that the CBEDS coordinator work closely with the CSIS coordinator in your LEA. The CBEDS coordinator’s responsibilities include distributing materials to schools, checking data prior to submission, and ensuring that data for these charter schools are returned to the CDE. We also ask that the CBEDS coordinator work with these charter schools to verify submitted data on the pre-certification Web site. CBEDS Data Submission Process for LEAs with Charter Schools
Professional Assignment Information Form (PAIF)
The first week in September you will receive a CD-ROM that contains the CBEDS PAIF Data Entry Assistant (DEA) software. The CBEDS coordinator will use our PC-based CBEDS PAIF software to submit data for their charter schools using one of the two options listed below.
- Provide each charter school paper forms, which may be printed from the CBEDS software, key enter the data into the software, and submit the data electronically.
- Send the CD-ROM to each charter school and have the charter school complete the data for their school. The CBEDS coordinator will then compile the data for all of the charter schools into one CBEDS software application. Individual charter schools do not submit their data separately to the CDE using the CBEDS software. Once the charter school's errors and warnings have been resolved and reviewed, the data are submitted electronically to the CDE. Please Note: CSIS state reporting LEAs should be careful to only load data for the charter schools not participating in the CSIS state reporting process.
School Information Form/County District Information Form (SIF/CDIF)
This year’s SIF/CDIF data will be collected through the Online Public Update for Schools (OPUS)-CBEDS Web application, which is a password protected, Internet-based application that will include formatted data entry screens. The CBEDS coordinator will use the OPUS-CBEDS Web application to submit CDIF and SIF data for all schools in their LEA, including charter schools.
