Dear CBEDS Coordinators:
In preparation for the October 2007 California Basic Educational Data System (CBEDS) data collection, the Educational Demographics Office will provide training for new CBEDS coordinators that may also be used to train school-level staff. Our office has developed two Web based training presentations. One presentation will be an overview of the CBEDS data collection process and how to collect and submit CBEDS data. The other presentation will demonstrate how to use the CBEDS data entry assistant (DEA) software applications. For those of you who prefer a live presentation, we will also provide a conference in Sacramento on August 15, 2007.
You are invited to participate in the Sacramento conference and/or the Web based training. Both of these trainings will cover the same material. Detailed descriptions of the trainings and recommendations about who should participate are outlined below. The following materials are enclosed and referenced in this letter:
We strongly recommend that all new CBEDS coordinators participate in one of the trainings because it provides each coordinator with background information about CBEDS, the duties and responsibilities of coordinators, detailed instructions for completing each of the three data collection forms, and an overview of data collection practices and editing procedures, as well as the online tools the CDE uses to report data. The Web based training offers a separate presentation on the use of the CBEDS DEA software. For participants attending the Sacramento conference, there will be an overview of the CBEDS DEA software programs and an optional hands-on software training demonstration.
It is not necessary for experienced CBEDS coordinators to participate in the trainings. Instead, we recommend experienced coordinators review the changes to this year’s data collection on our Web site at http://www.cde.ca.gov/ds/sd/cb/materials.asp.
Districts submitting data through the CSIS state reporting process do not need to participate in the CBEDS trainings, as the emphasis will not be on CSIS processing. The CSIS office provides comprehensive trainings for fall submission reporting. For more information on trainings for CSIS districts, please contact the CSIS office, at (916) 325-0860.
You may participate in the CBEDS training by viewing the training online and/or by attending the CBEDS coordinators’ conference in Sacramento. Each of these trainings are described below.
The Web based trainings will be a flash/movie file, similar to a PowerPoint presentation with audio narration. We will post the trainings in mid-August and make them available for viewing throughout the CBEDS data collection process on the following Web site:

The Sacramento conference will be held on August 15, 2007, from 9:00 a.m. – 2:00 p.m. If you plan to attend, please complete the enclosed Sacramento CBEDS Coordinators’ Conference Registration Form & Schedule and fax the form to (916) 327-0195. We would like to accommodate all potential participants, but since seating is limited, our first priority is to make sure every district’s designated CBEDS coordinator is able to participate in the conference.
Registration is on a first-come-first-serve basis, so we encourage you to register as soon as possible. We need to receive all registrations by Tuesday, July 31, 2007. If you plan to participate in the optional hands-on software training demonstration that will be held from 8:00 a.m. – 9:00 a.m., please ensure that the software training option is checked on your registration form, and include your contact information.
Enclosed are directions for traveling to the Sacramento conference. Often, large meeting rooms are cold or have varying temperatures, so we suggest that you bring a jacket or sweater for your own comfort. There is no charge to attend the conference, however, we are unable to provide food service.
