File Structure: Staff Demographics 2008

File structure for statewide staff demographics, such as, gender, race/ethnicity, education level, and years of service for teachers, administrators, and pupil services staff.

Note: This file contains hundreds of thousands of records and must be read by high powered database software (i.e., Access, Dbase, Foxpro, etc.). This file cannot be read by a software that limits the number of records that can be read (i.e., Excel).

This code is the District Assigned Staff Identification Number (DASIN) reported by the district. The code assigned for one year may not be the same code assigned to the same staff member for another year. Therefore, the code cannot be used to match records over time.

CDS_CODE

This 14-digit code is the official, unique identification of a school within California. The first two digits identify the county, the next five digits identify the school district, and the last seven digits identify the school.

GENDER

This field is a coded field identifying gender. The gender is coded as follows:

  • M = Male
  • F = Female
  • Null or Blank = Not reported

ED_LEVEL

Character

1

This is a coded field for staff member's highest educational level (honorary degrees not included). The highest educational levels are coded as follows:

  • 1 = Doctorate
  • 2 = Master's degree plus 30 or more semester hours
  • 3 = Master's degree
  • 4 = Bachelor's degree plus 30 or more semester hours
  • 5 = Bachelor's degree
  • 6 = Less than bachelor's degree
  • 7 - Not reported

ETHNIC_GP

Character

This is a coded field for staff member's racial/ethnic designation. The code indicates the racial or ethnic designation to which the certificated staff belongs or with which he/she most closely identifies.

The racial/ethnic designations are coded as follows:

  • 1 = American Indian or Alaska Native
  • 2 = Asian
  • 3 = Pacific Islander
  • 4 = Filipino
  • 5 = Hispanic or Latino
  • 6 = African American, not Hispanic (formerly known as Black, not Hispanic)
  • 7 = White, not Hispanic
  • 8 = Multiple or No Response

YRS_TEACH

Total years of public and/or private educational service. Includes services in this district, other districts, other states, and countries. Does not include substitute teaching or classified staff service. The first year of service is counted as 1 year.

YRS_DIST

Total years of service in a certificated position in the district. The first year of service is counted as 1 year

Indicates teacher is paid to teach in excess of the districts' full-time teaching position (i.e., an extra period or more). Does not include mentor teacher, coaching, adult education, ROP, department chair, or non-teaching assignments.
The field is coded as follows

  • T = True

STATUS

Indicates whether the teacher's position is tenured, probationary, or long-term substitute or temporary employee.
The field is coded as follows:

  • L = Long term substitute or temporary employee
  • P = Probationary
  • T = Tenured
  • O = Other
  • Blank = Not reported

F_P_TIME

Indicates whether the position is Full or Part time as defined by the district. For Part time employees, see field PERC_TIME below for percentage of full time position held.
The field is coded as follows:

  • F = Full time
  • P = Part time

PIP Logical 1

The Provisional Internship Permit (PIP) was created in response to the phasing out of emergency permits and became effective on July 1, 2005. It allows an employing agency to fill an immediate staffing need by hiring an individual who has not yet met the subject matter competence requirement needed to enter an internship program.

STSP Logical 1

The Short-Term Staff Permit (STSP) was created in response to the phasing out of emergency permits and became effective on July 1, 2005. It allows an employing agency to fill an acute staffing need when
