File Structure: Staff Assignment 2012

File structure for the staff assignment record, which includes specific assignment and class data for K-12 public education certificated teachers, administrators, and pupil services personnel reported as employed on Information Day.

File Name: staffassign12.txt

Note: For pupil services and administrative assignments, the "assignment code" is populated, while for teachers, information about the specific class and class section is populated (Class ID, Class Section ID, and Course Code). This file contains approximately 1,105,533 records. Some spreadsheets and editors will not support files of this size. Most database software programs (i.e., MS-SQL, Access, etc.) will be able to support this data set.

This code is a randomly generated number assigned to each staff. The code assigned for one year may not be the same code assigned to the same staff member for another year. Therefore, the code cannot be used to match records over time.

CD_CODE

This 7-digit code is the official, unique identification of a school district or county office of education within California. The first two digits identify the county and the next five digits identify the school district.

SCH_CODE Character 7 This 7-digit code is the official, unique identification of the school to which the staff member is assigned.

This code is indicated the type of staff assignment in the record. The field is coded as follows:

  • A = Administrator (COURSE_CODE must be submitted)
  • P = Pupil services (ED_SRVC_CODE must be submitted)
  • T = Teacher (ED_SRVC_CODE must be submitted)

This is the Non Classroom based or Support Assignment code from CALPADS.  An example of an administrative code is principal (0301). An example of a pupil services code is psychologist (0202). Note this field must be populated when the STAFF_TYPE is populated with either an "A" or "P."

A unique identifier for a Class assigned by a local educational agency. The Class ID must be unique within a school by Academic Year. A Class ID represents a unique class in a school for an academic year.

A Class is defined as a specific instance where one or more Course Sections are delivered to one or more students by one or more teachers. In most cases, a Class would represent a specific teacher teaching a specific Course Section to a set of students at a specific time at a specific location. In another scenario, a class could represent one teacher teaching multiple Course Sections to groups of students at the same time in the same location.

CLASS_SECTON_ID

A unique identifier that identifies a unique instance of a state course code, meets UC/CSU requirements, NCLB Core, NCLB_HQT, Distance learning, special education, independent study, and itinerant teacher status being taught within one class.

COURSE_CODE
