The California Department of Education has public school data posted on the Public Schools Database Web page. This dataset includes both district and school-level records that are active, pending, closed, and merged. Please carefully review the file structure to fully understand, retrieve, and organize the available data.
Creating Filters in Microsoft Excel Worksheets
If you wish to create a filter on the worksheet columns, you may do so by:
- Select the “Data” tab in the toolbar
- Within the Sort & Filter group, click “Filter”
- Click the arrow in the desired column header to display a list in which you can make filter choices

Filtering District Level Data
If you wish to retrieve only active or soon to be active (pending) district-level records, you will need to filter for:
StatusType = Active or Pending
SOC = Blank
DOC = 00, 02, 03, 52, 54, 56
District level records have only one superintendent. The superintendent information will be found under the following fields in the district level records:
- AdmFName1, AdmLName1, AdmEmail1
Filtering School Level Data
If you wish to retrieve only “traditional” active or soon to be active (pending) school-level records, you will need to filter for:
StatusType = Active or Pending
SOC = 60, 61, 62, 64, 65, 66, 67
Schools can have between 1 and 3 principals. The principal information will be found under the following fields in the school level records:
- AdmFName1, AdmLName1, AdmEmail1
- AdmFName2, AdmLName2, AdmEmail2
- AdmFName3, AdmLName3, AdmEmail3
