Dear Accountability Coordinators:
The purpose of this letter is to provide key information regarding the use of the 2011–12 cohort graduation rate in the 2013 Adequate Yearly Progress (AYP) reports. This information pertains to the following:
If your LEA did not have any students in grades nine through twelve in the 2011–12 school year, please disregard this letter. There are two files available for download. The first file contains student-level data used to calculate the 2013 AYP cohort graduation rates (class of 2011–12). This data file contains each student’s graduation status by county-district-school code and statewide student identifier. All of the students in the file are part of the 2011–12 cohort. Students are identified as part of the 2011–12 cohort if they were a first-time ninth grader in any public school in the 2008–09 school year. The second file is a LEA- and school-level file that contains the 2011–12 graduation rate, the graduation growth target, and whether or not the school or LEA met the AYP graduation rate criteria. The data in both files were pulled from CALPADS ODS on March 11, 2013.
The school- and LEA-level files provide information on the impact of the graduation data on AYP determinations. LEAs may make data corrections to CALPADS before the release of the AYP in the fall. If you believe the 2013 AYP cohort graduation rate is incorrect, the student-level file will help in identifying potential errors. Please work with your LEA CALPADS coordinator to correct the data.
LEAs have until the close of business on June 27, 2013 to make final corrections to 2011– 12 enrollment and exit code data in the CALPADS ODS. Enrollment and exit data will be extracted from the CALPADS ODS on June 28. Correcting data in CALPADS by the June 27 deadline will ensure that your 2013 AYP cohort graduation rate (class of 2011–12) is updated before the release of the AYP determination.
In order to access these files, please follow the attached instructions for downloading the file. A separate e-mail has been sent to LEAs’ secure accountability coordinators that provides the decryption passphrase needed to open the data files. Both e-mails are being sent out at the same time.
