Winter 2011 Collection Due Date – Extension Requests
We have received several inquiries from LEAs regarding the possibility of extending the due date for the Winter 2011 data collections. There are no official extensions to the May 25, 2012 due date, but the data collections will remain open after May 25 for an unspecified timeframe to allow the state program staff time to review the data and LEAs will be able to complete their application during this timeframe. We will send a notification out on the ConApp listsrv 5 days prior to closing the Winter data collections. Once the review period has ended, the data collections will be closed and LEAs will no longer be able to enter data into the collections. Also, all draft data will be deleting from the system.
We expect all data collections in the Winter 2011 collection to be completed before the LEA’s 2012-13 Application is recommended to the State Board of Education for approval.
Frequently Asked Questions Regarding Certification in CARS
Over the last few days, we have received a number of service requests related to certification. As a result, we are providing the following information.
Q. I have certified all of my data collections, is there anything else I need to do?
A. No. You are finished. Congratulations!
Q. We can’t see the Certify Tab and are unable to certify our data / how do I certify / why won’t the system allow me to certify?
A. Only a user with the role of Authorized Representative can certify data. Your CARS LEA User Administrator needs to assign the role of Authorized Representative to one of your users. If the user is logged into CARS when the role is assigned, to invoke the newly assigned role, the user will need to logoff, and then re-logon to CARS. The person should now be able to see the Certify Tab and certify data.
Q. One of my data collections is showing as Certified-Obsolete. What do I do?
A. You entered a change to a data collection that impacted a data collection with a data dependency. To resolve the obsolete submission, open the data collection, if applicable resolve any new warning messages, save it, and then certify it.
File Format when Uploading School Student CountsIf you received an error message "Uploaded file contained no data or was not a properly formatted Excel file", make sure you saved the file format correctly when downloading the file. The file must be saved in an .xls file format. The system will only accept this Excel file format.
Title I School Allocations – Difficulty Getting to Zero
Some LEAs have experienced difficulty allocating all of their dollars to schools. This is primarily due to rounding. We suggest the following tip for handling this situation. Once you have allocated all dollars possible and have a positive unallocated amount, open either the Reservations Required or Allowed, add the unallocated amount to one of your reservations for direct services, and then return to Title I, Part A School Allocations to verify the unallocated amount is less than $1.00 and not a negative amount.
