Memo to LEA representatives to provide information about tips for ensuring that the correct data collection is being accessed when multiple data collections are available.

District Advisory Meetings

Due to the late release of the 2012-13 Application for Funding, the 2012-13 Application for Funding, if a District Advisory Committee (DAC) and/or District English Learner Advisory Committee (DELAC) is applicable to the LEA, the LEA will be allowed to enter a future meeting date that is after the local board approval date up through June 30, 2013.This allowance will be solely for the 2012-13 fiscal year.

Be Careful When Completing 2012-13 Data Collections

One of the drawbacks of keeping the 2011-12 Winter data collections open when we released the Spring 2012 Phase I data collections, is doing so increases the risk of an LEA accidentally opening and changing the wrong fiscal year data. We have received a few calls from LEAs that have done just that. We are holding the Winter 2011 data collections open as we complete the data review.

We caution you to be very careful when selecting the 2012-13 data collections. Below are two strategies that will minimize the potential for your LEA to change the wrong year’s data.

  1. When completing 2012-13 data collections, select them from the Home Tab. Avoid clicking on the Data Entry tab.
  2. If you prefer to use the Data Entry tab to select data collections for data entry, use the fiscal year drop down list box at the top of screen to filter the list of data collections to the relevant fiscal year.
