District coordination is essential to the 2008 California School Technology Survey process. It is important that the data submitted are accurate, complete, and timely. The window for completing the 2008 California School Technology Survey is Thursday, January 24, 2008, through Friday, March 14, 2008.
The responsibility of each district is to:
- Identify and assign district staff to coordinate technology survey data collection and input for the district and the schools and provide survey access information to schools.
- Coordinate the collection of school survey data for all schools in the district.
- Distribute the district Personal Identification Number (PIN) and school Survey System Password to schools in the district.
- Complete the district survey and support schools in the accurate completion of the school survey. Optionally, school districts may complete the survey on behalf of their schools.
- Ensure that district and school survey data are complete and accurate. A number of education technology grant programs use the California School Technology Survey data to determine eligibility and grant award amounts, so it is critical that the technology data accurately reflect technology in the schools and district.
- District technology survey coordinators should monitor the completion status of data entry for schools sites. To monitor the completion status. Log onto the 2008 School Technology Survey Web page. Select the “Take Me to the 2008 Survey” link. Select “School” as the survey type in the drop-down menu. Select the desired “County” and “District” in the drop-down menu.
PIN and Password Management
- District PIN and Survey System Passwords are being e-mailed to superintendents and district staff who completed the survey last year. The online survey instructions and the e-mailed PINs and Survey System Passwords should be given to district staff assigned to coordinate the survey.
- Districts must use the district PIN and District Survey System Password assigned to the district. Schools must use the district PIN and School Survey System Password. Passwords are to be shared only with those who are designated for completing the survey at the district and school sites.
- Locally-funded charter schools will use the district’s PIN and the School Survey System Password. Direct-funded charter schools have been sent their own PINs and Direct-Funded Charter School Survey System Password to use for the 2008 Survey.
- California Technology Assistance Project (CTAP) regional staff is available to assist with PIN and password questions. CTAP contact information is available on the California School Technology Survey Contacts Web page.
Survey Tips
- It may be helpful to print a copy of the survey, collect all the needed school site technology data, fill out the paper survey form, and then use the hard copy as the data entry reference to enter data into the online survey.
- It is not necessary to complete the entire survey in one session. For example, you may save the survey after completing one section and return to it the next day to complete the rest of the survey.
Data Entry
On the 2008 California School Technology Survey Web page, there are links to survey instructions, downloadable copies of the survey documents, and access to the 2008 California School Technology Survey input screens.
- To enter data in the 2008 survey:
- On the 2008 California School Technology Survey Web page select the “Take Me to the 2008 Survey” link.
- In the “Survey Type:” box select “District” from the drop-down menu.
- In the “County” box select the county from the drop-down menu.
- In the “District” box select the district from the drop-down menu.
- Enter the district PIN in the “PIN” box and the Survey System Password in the “System Password” box. Select “Logon.
Note: If a school site is not listed in the data entry screens, or a school site no longer exists, send an e-mail to your CTAP regional staff. CTAP contact information is available on the California School Technology Survey Contact Web page.
- Select the survey section and begin entering data. Before exiting a section of the survey, select “Preview” to preview the data entered, and then select “Submit” when you are ready to submit data for a section of the survey.
- To document the completed district survey, print and file a copy of the school survey as it is completed by using the “Printer Friendly Version” link from the “District Survey Main Menu” for your district.
