Instructions for Downloading AYP Data Files

System requirements and downloading instructions for Adequate Yearly Progress (AYP) data files.

NOTE: It is possible for electronic files to become corrupted during the downloading process. Once you have downloaded the file to your work station, please verify the data by checking it against the internet report data.

System Requirements for PC Users
  • PC computer running Windows 95, Windows 98, Windows 2000, Windows XP, or later versions.

  • Database or spreadsheet software (Microsoft Excel, Microsoft Access, dBase, FoxPro, FileMaker Pro, etc.).
System Requirements for Mac Users
  • Macintosh computer running OS 8 or higher.
  • Uncompression software such as Stuffit Expander. Stuffit Expander [http://www.stuffit.com/win-deluxe.html] External link opens in new window or tab. is available at no cost from MySmithMicro.
  • Database or spreadsheet software (Microsoft Excel, FileMaker Pro, FoxBase, etc.).
Downloading Instructions for PC Users
  1. Select the link for the file type that you will be using (XLS, DBF, TXT, ZIP, or ASCII).
  2. Save the compressed statewide data file to your workstation or pc.
  3. For DBF, TXT, ZIP, and ASCII files. These statewide data file has been compressed using WinZip 7.0 and will require compression software to uncompress the files before they can be opened.

Note: To avoid losing the leading zeroes in the CDS codes when importing TXT files into Microsoft Excel and/or Microsoft Access, please set the columns as "delimited" and "text" during the initial Text Import Wizard.

Downloading Instructions for Mac Users
  1. Select the link for the file type that you will be using (XLS, DBF, TXT, ZIP, or ASCII).

Using Stuffit Expander

The following instructions apply to Stuffit Expander. If you have other uncompression software the procedures are similar.

  1. Open Stuffit Expander.
  2. From the application menu select File-Expand.
  3. From the dialogue box select the AYP data file and the destination folder.
  4. Select and click on the Expand button.
  5. Open the appropriate software application. You may have to increase the amount of memory allocated to the application software.
  6. Select File-Open from the application menu.
  7. Open the List files of Type drop-down box and select "ALL FILES". Open the data file.
