The purpose of this training video is to demonstrate some of the changes in the Smarter Balanced Technology Readiness Tool (or TRT) for the fall 2012 Data Collection window. For general training on using the TRT, view the training video for the spring 2012 window.

The Web site address for the TRT is www.techreadiness.net.

In this demonstration, I will logon using an account with district-administration privileges.

Remember there are two sections that require data input: the Devices section, and the School Survey Questions section.  If you submitted information during the fall 2012 window, your data has been saved in the TRT database so that it can be updated.

We’ll start with the Devices section.

Let’s look at the Devices form.

There are new options for the Operating System field, Processor field, and Screen Resolution field. Most notably, Windows XP has been split into Windows XP Service Pack 2 or less and Windows XP Service Pack 3.  Devices entered during the spring window as Windows XP are converted to XP SP3.

There are two new fields in the Devices section: Assessment Environment and Device Owner.

Now let’s look at the School Survey Questions section.

You’ll notice that all schools have been set back to “Not Complete.”

Let’s look at the School Survey Questions form.

There is a new field called Classification of School.

There are new fields for the current enrollment at each grade level. The fields have been pre-filled with information from the 2011-12 school year. There is no need to update this information unless a there is a major discrepancy in the populated data.

The Internet Bandwidth field has new options – 20 megabits per second up to 90 in 10 megabit increments .

In the Testing Information section, the maximum number of simultaneous test takers, testing window, and sessions per day fields are required for the generation of “readiness” reports. The CDE TRT FAQ page has tips on completing these fields.

If you entered information during the spring window, one option for submitting updated data is to use the Export File function, then update the file, then import the updated file. Let’s run through the steps for the Devices.

Go to the Batch File Importing and Exporting menu option.

Select Device Import/Export. Click Start Tasks.

In the Action dropdown, choose Export. Click Process File, then Click Exit.

Refresh the page until the Status changes to Complete, or wait for the e-mail indicates that the task has been completed.

Click on the filename link to get details of the export task.

Click on the filename link to download the csv file to your computer.

If you are using Excel to update the file, use the Text Import Wizard to import the csv file into Excel.  If you open the csv file directly, Excel will convert the Org Code field to a scientific notation value.

Create a new Excel workbook.

Go to the Data tab then choose the From Text option.

Open the csv file you downloaded from the TRT system.

Click Next

Uncheck Tab, check Comma, and change Text qualifier to None. Click Next.

For the orgCode column, change the format to Text, then click Finish.

Click OK.

Update the data in the cells.

Save the file as an Excel workbook, and also as a csv file.

Now import the updated csv file.

Go to the Batch File Importing and Exporting menu option.

Select Device Import/Export, and then click Start Tasks.

In the Action dropdown, choose Import. Select the Delete Existing Data method. Locate the updated csv file on your computer. Enter a brief description. Click Process File. Click Exit.

Refresh the page until the Status changes to Complete, or wait for the e-mail indicating that the task has been completed.

The devices are now updated with the information from the csv file.
