Revenue and Cost Report (Other agency types)


This listserv notifies California school food authorities (SFA) of Charter and Private Schools, Residential Child Care Institutions, and Camps that revenue and cost (R&C) data must be completed and submitted annually through the Child Nutrition Information and Payment System (CNIPS) as part of the SFA’s last monthly claim for reimbursement for the School Year (SY) 2019–20. This data must include all R&C associated with an SFA’s School Nutrition Program (SNP) from July 1, 2019, through June 30, 2020.

Please note the following:

  • SFAs must also include annual R&C data for the Seamless Summer Option, if applicable, in the totals that they report on their last monthly claim form for the SY 2019–20.
  • Special Milk Program Only sponsors are not required to complete the revenue and cost information.

Prior to certifying and submitting the SFA’s last monthly claim for reimbursement for SY 2019–2020 in CNIPS, SFAs must follow the procedures below to enter the R&C information in their claim in the CNIPS.

After accessing and entering the claim data for the last claiming month for SY 2019–20:

  • Select Save
  • Select Finish; the Claim Month Details screen will appear
  • Claim Items: Claim, Costs, and Summary will appear on the left of the screen
  • Select Costs; the R&C Data Entry screen will appear
  • Enter all R&C data that applies to the program
  • Select Save
  • Select Finish

After completing these steps, the SFA can certify and submit the claim for reimbursement. Failure to complete the R&C portion of the claim form will result in nonpayment or a delay in reimbursement.

Please remember to verify the data on the claim for accuracy. Listed below are some tips in reporting R&C data:

  • Values entered must be in a numeric format (e.g., 10,000.05)
  • Revenue should be reported as positive dollar amounts
  • All applicable cost data should be reported in Part Ill, Cost Incurred, items 37–39

Frequently Asked Questions

When I try to enter my claim, I receive a message that states, "Claims are closed for the selected year." Is there a problem with CNIPS?

Not necessarily. Please be certain you have selected the correct school year at the top right of your CNIPS screen. SY 2020–21 is now open for sponsors to complete their annual applications update, so the CNIPS will now default to SY 2020–21.

To access SY 2019–20 claims:

  • Log into the CNIPS
  • Select Year on the blue toolbar at the top right of your screen
  • Select 2019–20
  • Select Claims
  • Select Claim Entry
  • Select your SFA’s last claiming month for the SY 2019–20
After I enter my last monthly claim for reimbursement for SY 2019–20, I receive an error message that reads, “Last claiming month of the year cannot be submitted until Revenue and Cost portion is filled out.” How do I fix this?

Access and fill out the Year-end R&C data report:

  • Log into the CNIPS
  • Select Year in the upper right top of your screen
  • Select 2019–20
  • Select Claims
  • Select Claim Entry
  • Select your SFA’s last claiming month for the SY 2019–20
  • Under Claim Items, select Costs
  • Complete the form and select Save
  • Select Submit the Claim for Payment

Where can I find an electronic version of the R&C report to complete and keep with my claim records, for a previous school year?

The Annual Year-End R&C report, Form ID SNP 41, is located in the CNIPS Download Forms section.
