CDD-801B Report Updates

This notice is to inform all Early Education and Support Division (EESD) contractors that maintenance to the CDD-801B report in the CDMIS is complete.

Updates made to the CDD-801B report include the addition of the following data fields:

  • Active Military – This field indicates whether one or more parents is currently serving active duty (i.e., serving full-time) in the United States Military.
  • National Guard or Reserves – This field indicates whether one or more parents is currently a member of a National Guard or Military Reserve Unit.
  • Family Homeless Status – This field indicates whether a family was homeless for one or more days during the month.

Contractors should refer to the updated EESD-9600: Confidential Application for Child Development Services for the responses to each of the data fields above. The following responses are available for each of the fields listed above: "Yes," "No," or "Unavailable." As of the October 2020 report month, agency responses to these new data fields are required, and "Unavailable" will no longer be an option.

All agency staff with a direct or indirect role in submitting CDD-801B reports, including, but not limited to, executive directors, program directors, and CDMIS users, are responsible for understanding the definitions of the added data fields.

The following table provides the CDD-801B sample dates and report deadlines for the remainder of fiscal year (FY) 2017-18.

Agencies selected to complete the CDD-801B report will be contacted on the Sample Pull Dates indicated above. Each report will be due on the Report Deadline indicated above. Late notices are sent out the business day following the report deadline. Each CDD-801B report will lock 10 calendar days after the report deadline. After the report month is locked, the reports submitted will be considered final, and no further changes may be made. 

Upcoming CDD-801A Report Updates

Beginning with the October 2018 report month, the CDMIS will no longer accept Head-of-Household social security numbers.

For agencies that submit CDD-801A reports using the CDMIS Input/Edit and Copy Forward function, you will no longer be allowed to save data into the Head-of-Household Social Security Number field on the CDMIS Add/Edit CDD-801A Family web page.

For agencies that submit CDD-801A reports using the CDMIS Electronic File Transfer function, files containing a Head-of-Household Social Security Number field will not be processed. The CDD-801A File Format Instructions web page will be revised to reflect this change to the CDD-801A report.

Please note, the EESD is providing agencies with a three-month phase-out period (i.e., July 2018, August 2018, and September 2018) to accommodate this update to the format of electronic files. Beginning with the October 2018 report month (report deadline of November 20, 2018), files containing a Head-of-Household Social Security Number field will be rejected from the CDMIS.

Frequently Asked Questions

CDD-801B Report

How will I know if I have been selected to complete the CDD-801B report?

Executive directors and program directors will be notified via email if one or more families previously reported in their agency's CDD-801A report has been selected in a CDD-801B sample. The email will include the sampled month, the number of families sampled, and the date the CDD-801B report is due. On the CDMIS website, the sampled families will be displayed on the View CDD-801B Family Summary web page of the CDD-801B Input/Edit function.

When are the CDD-801B reports due to the CDMIS?

Please refer to the report deadlines table under the CDD-801B Report Deadlines section of this update web page.

Can I make changes to my CDD-801B report after the report deadline?

Agencies can edit data submitted in a CDD-801B report until the report month is locked. Once a report month is locked, no further report changes may be permitted. Each CDD-801B report will lock 10 calendar days after the report deadline.

 

Upcoming CDD-801A Report

Should I remove the Head-of-Household Social Security Number field from my electronic file?

No. The Head-of-Household Social Security Number field should remain blank for electronic file uploads. Only electronic files with blank a Head-of-Household social security number fields will be accepted by the CDMIS beginning with the October 2018 report month (report deadline of November 20, 2018).

When will the CDMIS stop accepting my electronic file with a Head-of-Household social security number field?

Beginning with the October 2018 report month (report deadline of November 20, 2018), the CDMIS will no longer accept electronic files with a Head-of-Household social security number field.

Can I leave the Head-of-Household social security number field blank instead of reformatting my electronic file to remove the field?

Yes, electronic files must include blanks in the Head-of-Household social security number field.
