Technology Reminders

List of technology reminders to prepare an LEA for the test administration of the Smarter Balanced Online Summative Assessments.

As the administration of the Smarter Balanced Summative Assessments approaches, please review this list of technology reminders to help you ensure that your local educational agency (LEA) is prepared to administer the assessments.

  • Please add all your users to the Test Operations Management System (TOMS) as soon as possible. This step is crucial because to administer a test, a Test Administrator (TA) must have previously signed into TOMS at least once. The starting date of testing is fast approaching, so add your users and encourage those who have been given logon information to log on to the system. (PDF) from each individual who is on the list of users you submit to receive TOMS access, because these users will have access to secure student data. Maintain the signed forms locally.

  • White list the domains listed in Appendix A of the Technical Specifications Manual External link opens in new window or tab. (PDF). By white listing these domains for your LEA, you will ensure that communications generated by those addresses are not automatically sent to a junk mail or spam folder.

  • If your LEA’s email system automatically generates leading text in the subject line of emails, please communicate that to the users you add to TOMS. This leading text could cause users in your LEA to miss the purpose of the email. When new users are added in TOMS, they must open their e-mail within 30 days or their temporary password expires. Therefore, it is imperative that the users can find and open their email from TOMS.

  • If a new user does not receive an email within 48 hours of being added to TOMS, have him or her check a junk mail or spam folder before you contact the California Technical Assistance Center (CalTAC). The fact that the new user email is generated by an automated system is enough for some discerning spam filters to redirect it. Take these steps if you encounter an issue with receiving emails:

    1. Double-check that the proper domains have been white listed in your LEA.

    2. Look in your spam folder for the message (keeping in mind that the email might contain leading text in the subject line.

    3. Check the CAASPP System Status External link opens in new window or tab. web page to ensure that the upload did not take place during a period of planned downtime. If that is the case, please attempt another upload when the system is operational. If neither of those actions are successful, contact CalTAC.

  • At least two days before testing begins, please advise your TAs to review the accommodations and designated supports of the students who will be testing in the following days to ensure that the information is correct. Changes should be made in time for the student to test alongside his or her peers instead of having to miss the session. Unlike the interim assessments, where a student’s accommodations can be changed by the TA right before the test begins, accommodations are locked in for the summative assessments and cannot be changed by the TA. Having TAs check the designated supports and accommodations will also require them to log on to TOMS at least one time before they can administer a test.
