Preschool Student Course enrollment and Staff Assignment NOT Expected (SCSE0128)

LEAs should not report preschool (PS) course enrollment or staff assignments. In past years, the system did not check for this data. In 2022–23, an SCSE0128 (Invalid CRS-State Course Code Grade Level Combination) validation error will trigger if LEAs post PS student course enrollment. LEAs should remove the 2022–23 Student Course Section Enrollment (SCSE) records for the PS students in order to clear the errors.

For staff that only provide instruction to PS students, LEAs should add an Employment End Date prior to Information Day and remove the Staff Assignment (SASS) records for 2022–23. To end the employment in Online Maintenance, LEAs should leave the Effective End Date at the top of the staff demographics blank, and then scroll down to the bottom of the modal and populate the Employment End Date.

Please note that this guidance has not yet been updated in the CALPADS Data Guide; however, to avoid error SCSE0128, LEAs should not report PS course enrollment or staff assignments.

SCSE0139F2 – Missing Course Section Record

As mentioned in Flash #247, orphaned SCSE records are now visible in Online Maintenance. However, the “Open” button has been removed. To remove these records, a Delete transaction type SCSE record must be submitted via batch.
