Who Has Access to EDCS
Access to the Education Data Collection System (EDCS) is provided to the California Longitudinal Pupil Achievement Data System (CALPADS) Local Educational Agency (LEA) Administrator as well as other staff that have been authorized by the CALPADS LEA Administrator.
Use the Search LEA CALPADS Administrator directory to look up your LEA's CALPADS Administrator, or if you are unsure whether you are the CALPADS LEA Administrator, or if you do not know who the CALPADS Administrator is at your LEA.
CALPADS LEA Administrators appointed on or before May 1, 2025 have been automatically granted EDCS access. Any EDCS passwords that CALPADS LEA Administrators created last year are still valid, but passwords may be reset if needed. Additionally, LEA staff who were authorized and uploaded State Seal of Civic Engagement (SSCE) or Armed Services Vocational Aptitude Battery (ASVAB) data during the previous collection year will retain their EDCS access and passwords.
Requesting Access for Staff Who Are Not CALPADS LEA Administrators
If your LEA has determined that a staff member other than the CALPADS LEA Administrator will be importing data to EDCS, the CALPADS LEA Administrator may request access for that staff member by sending an email to educationdatacollection@cde.ca.gov. In the subject line of the email, put “Request EDCS Access,” and in the email message, provide the following information about the staff member for whom access is being requested:
- First and Last Name
- Position
- Phone Number
- LEA Name (this is necessary in order to grant appropriate LEA access)
Once access has been granted and an account has been established for that staff member, the staff person will receive an email stating that their account has been established.
Requesting Access for New CALPADS LEA Administrators
CALPADS LEA Administrators appointed after May 1, 2025 must send an email to educationdatacollection@cde.ca.gov. Refer to the instructions above for requesting access.
Instructions for Accessing / Logging in to EDCS
To access the EDCS application to import data, the CALPADS LEA Administrator, or the staff person who has been granted access, must first create a password. Users can do this using the "Reset Password" link on the login page.
Log in to the Education Data Collection System
Log in to the EDCS system using your password, or if you do not yet have a password or have forgotten or need to reset your password, select the “Reset password” link, and you will be directed to the “Reset Password” page. Simply follow the prompts on the web page to reset your password. Note that the “Reset password” option will not be available on the login page when the EDCS system is closed.
Resetting Your Password
- First, Log in to the EDCS System. Note that when the EDCS system is closed, users will not be able to log in, and the web page will read “The Education Data Collection System is closed.”
- To create a password, or if you have forgotten your password, select the "Reset password" link, and you will be redirected to the Reset Password page.
- On the Reset Password page, enter your email address and select the "Submit" button.
Note:- If you are the CALPADS LEA Administrator, or if your CALPADS LEA Administrator has requested access for you:
After submitting your email address, a message will pop up on the "Reset Password' page, that reads, "An email has been sent to your email address. Please follow the instructions in your email." - If you are not the CALPADS LEA Administrator, or if your CALPADS LEA Administrator has not requested access for you:
The "Reset Password" will display a message that reads, "Password reset failed." If this happens, refer to the Who Has Access to EDCS section above.
- If you are the CALPADS LEA Administrator, or if your CALPADS LEA Administrator has requested access for you:
- After submitting your email address, if you have access to EDCS, you will receive an email.
To set or reset your password, you can either select the Reset password link, or copy and paste that same URL into your browser. - Once you select the link provided in your email, your browser will prompt you to input a new password and to confirm it. Make sure to adhere to the password requirements provided.
- Finally, select the "Submit" button to proceed.
- Upon selecting the "Submit" button, you should see a message that reads, "Password reset complete."
- Next, select the login link provided, and you will be returned to the EDCS login page.
- From the User Login page, proceed by entering your email address along with your password, and then select the Login button.
Once you have successfully logged in, you will be directed to the EDCS Programs page. From there, proceed by selecting a program.
